Time Management Tips for Women – Making Time for Work, Family and Friends

Years ago, in the mid-80s, I learned what many time management efforts entailed while working for a technology consulting firm. It was an exciting time not only for me but also for the industry because of the rapid advancement of technology. Our medium-sized firm was growing rapidly, and I had recently served as Director of Human Resources. It was a new role for the company and boy was I excited. However, my natural tendency to flow is dictated by the rigors and demands of my schedule.

I traveled extensively to top universities, scouted for super smart talent, trained all new hires, developed HR systems, raised two small children, and went to night school. Yes, I’m in over my head. Well, one day the owner sat in my office (watching my projects pile up) and asked me to write down what I was doing in 30 minutes. Can you imagine that! I felt completely humiliated! It was a moment I will never forget, and it was then that I realized I had never been taught how to manage my time effectively.

As of 2011, I am now a work-from-home entrepreneur with an Internet Marketing Firm and Style Coaching business. Things couldn’t be more difficult when it comes to staying on task and getting projects (like this newsletter) out on time.

I shake my head sadly when I see pictures of mothers with children in their arms at the computer. As you can imagine, this image makes unproductive people even more stressed! There was a time when I was one of them, but not anymore. Here are some time management tips for the most successful people I know.

1) Completely declutter your workplace. Nothing creates stress like seeing piles and mounds of half-finished projects. Remove them immediately and notice the peace that overcomes your soul.

2) Solitude and work without distractions. No TV, no music, no surfing, no excuses if you want to work from home and achieve the success you want. Now this was hard for me because I love good music! Don’t get me wrong, I’m still cranking up my music, but I’m not focused on finishing the project.

3) Don’t pick up the phone. If you’re like me and have kids, put your phone on silent and check every 15-30 minutes to see if you’ve missed their call. Kids love texting, so use this tool to keep in touch. I’m especially skeptical of parents who don’t like texting their kids. How can you and they get your work done with distracting phone calls all day long?

4) Select a time of day to respond to emails. We live in a society that is overloaded with emails you signed up for and other cryptic emails that appear in your inbox. No matter what email account you use, most offer sophisticated tools to help you organize and prioritize your email. Don’t react randomly throughout the day, or you’ll lose valuable moments where you can focus and stay on task to complete what you need to focus on.

5) Time for the project is closed in 30-minute increments and then extended. It’s important to know where your time is going and what you’re doing so you can adjust to stay on track. If you’re like me, you run several blogs, write newsletters, train clients, fulfill board responsibilities, and create new and exciting projects. Whether you’re running your own business or just trying to be productive, the importance of time and energy control can’t be overemphasized. You need to learn how to block time, package activities, and script your day. Stretching sends vital oxygen to your brain and energizes your cells. Try it, it really works!

6) Inform your family and friends about the schedule change. This is difficult for them to accept. Most people don’t believe you can make money from home, but they’re wrong. By responding to their every request, you’re giving them permission to devalue what you’re doing. Worst of all, you don’t get the results you want, and we all know how that leads to frustration, fights, and unproductiveness.

7) I recommend going to bed early. Even New York Times bestselling author and celebrity Neil Strauss admitted that his early morning schedule allowed him to get more done. You’ll find that 30 minutes in the morning will complete a productive 2-hour afternoon. Again, I was convinced that success was all about pushing yourself. Yes, it is about what you become. If working from home means relaxing with your laptop and coffee at your local Starbucks, or feeling overwhelmed by the things you need to do at home, you’re not creating the life you want. Sorry to say that won’t happen.

Here’s how to do MORE. PERIOD.

You should be serious about simple planning and time management checklists.

The last thing you need to do every working day is to prepare a work schedule / checklist for the next day. Build templates based on your current projects and literally block time for each task.

To “create” this schedule, you need to keep a journal of how you spend your time right now. Remember the first story, “I Gotta Track My Time”? Take a notebook with you for a few days and write down exactly what you’re doing every 15 minutes. Do this all day for three working days. Then you’ll identify the things that cause you to waste time and work on eliminating them.

You may notice a pattern of falling into the trap of checking email, which takes you to far-flung places like sports sites, fashion newsletters, and Twitter. You see where this is going and so is your time. So see it is very important to have a schedule. It will take you straight to where you need to be.

Finally, determine the time of day when you are most productive. What I’ve found is that it can get in the way of other family work. This is where the support of family and friends is so important to make up the time so that you can fulfill your duties. Otherwise, you may run away from success for a long time until you apply these time-tested principles.
